Facility Move – Denise Thibault

Working Committee

  • A working committee (Denise, Louise and Allison) has been formed. Pauline Delorme contracted (to Dec 31/06) by the committee to intiate, research and present IDRC fitness needs and transition recommendations.
  • A small contract was given to Pauline Delorme
  • Allison, Louise and Denise met with Pauline to draft a set of initial questions and issues in undertaking a fact finding mission especially to identify who we need to talk to who can be influence
  • Pauline will be submitting a report by the end of Dec which will address the questions and issues
  • Would like to talk to the Communication folks on how to best communicate with staff
  • Plan is to meet again in Jan to discuss the report

RA and Constitution Square

  • Jane to approach Constitution Square with a new business model for their fitness facility by Xmas.
  • Building Management runs the facility not the RA; it is a different business model
  • RA centre strategy is to talk to the building owners at Constitution Square; will need to prove that money can be saved

IDRC fitness centre

  • No word yet from Morguard concerning new occupants/use of the gym space. Jane to prepare cost-benefit analysis of maintaining the facility in it’s current space to be delivered to Morguard.
  • Need to think about it at a strategic level ie. this is an employee benefit; take it back to management and define what the benefit is
  • Should include stats and studies on the benefits of fitness, mind/body well-being, balanced lifestyle; this is something that Jane is working on


Communication with staff

  • if commmittee is ready, they may want to release a survey and preliminary info about the new facility to all gym members at the Holiday Luncheon scheduled Thursday Feb 15/07
  • Might consider passing a strategy to someone like Judith Lockhard (sp?) to get ideas

2005/06 Budget – Jane Proudfoot

Members

  • in 1997, the majority of people were IDRC; we are now able to generate members from the outside
  • the picture paints good fiscal management and a good corporate partnership
  • the 2005/6 Annual Report was distributed, for approval by all by month end * Report will be sent to translation and printing for distribution in Dec.
  • Membership figures: 162 There is still room for 7 more outside members.

Financial Results

  • RA was able to hire Heather, as student, to lead fitness classe; as a result, we didn't spend as much on operations
  • Less equipment maintenance problems partly because of the upgrades

Reconciliation

  • month over month accounting has been done
  • chasing one person whose membership wasn't deducted from payroll
  • RA has been consistently given back $1000-4000

Follow-up

  • Financials for Sept/Oct- Final figures to be delivered by Jane by next meeting.


Current Operations to date – Terry

  • Mind and Body classes are full
  • Group Fitness - averaging 8-10 people per class
  • Self-defense course cleared costs and was well-received by IDRC members. Had 5 people sign up; Instructor agreed to drop the class to a fee per person; revenue of $20; impressive course
  • Group Fitness attendance is picking up from September - attendance averages 8 to 12 people daily.
  • Recommend dropping to two classes the week before the hols (Mon & Tues only); closed the week of the 26th; two classes the first week back (on 3rd & 4th) and full schedule as of Jan 8
  • Cancel class on the 15th because of the Christmas party
  • Locker Room and Facility cleaning to be scheduled during “closed week” between Dec 22 to Jan 1
  • Membership Satisfaction Survey – will not be delivered this year. Members will be surveyed at a later date concerning the “new” facility .Member satisfaction survey: will do a survey when we have more information about the new site
  • Member appreciation day in the new year


Follow-up

  • Terry recommends self defense in the winter and those who missed a class in a previous session are welcome to join

New Winter Program – Terry

  • Program starts on runs Jan 8/07 to March 31/07.
  • 10 wk as opposed to a 12 wk schedule; fees are pro-rated
  • Group fit classes will remain the same, order will change slightly
  • Mind and Body will remain the same (4 classes /week)
  • Self Defense will run for 5 weeks : March 1 to 29 (not include March Brk)
  • Fitness Appreciation Week (Feb 12 to 16/07): Could include a master class with Carole; Lunch; Lunch and learn around a topic (menopause) which is open to all; fitness testing to establish a baseline (members only); Buffet Luncheon in gym for all members
  • Staff Association has money to pay for a speaker


Recommendations:

  • Same schedule for the group fitness
  • Mind & Body should be kept the same
  • Member appreciation week around Feb 12-16 (love your member)

Other Business

  • Issues with the WCMS
  • Equipment to be replaced – Oscillating Fan, 10 lb weights
  • electronic sign-up sheets for Cardio equipment. Great idea, just not a cost beneficial option at this time given the move within the next year.
  • Allison has offered to register the fitness committee with the D-Group and make her meeting notes available to all through the use of the D-Groups discussion community as a way to keep us all up to date on the Fitness Executive meetings.
